Request for Proposal Details
The RFP Details page provides suppliers with an overview of a Request for Proposal (RFP) created by a buyer. Suppliers cannot create RFPs manually; instead, they receive RFPs in the Pending Proposal status, automatically generated based on the buyer's RFP.
Suppliers are responsible for reviewing the request, selecting a public customer information, and submitting the proposal.
Overview
Upon receiving an RFP, suppliers can:
- Clone items from Requested Items to Actual Items for final verification and editing.
- Include public customer information in the response.
- Edit and upload the Proposal Document (only for users with PR Manager or Vendor Manager permissions).
- Send the RFP for approval (if an approval workflow is configured).
- Track RFP status changes throughout the approval process.
- Receive notifications if the buyer cancels the RFP before submission.
Available statuses
- Pending Proposal: Default status when an RFP is received from a buyer. The supplier must review and submit the proposal.
- Actions: Upload Proposal Document, Select Public Customer Info, and Send.
- Enroute: Assigned when the RFP is submitted for review by users with PR Manager or Vendor Manager permission.
- Actions: Approvers can Approve or Reject an RFP.
- Complete: Assigned when the RFP is approved and finalized or rejected by any of approvers.
- Rejected: Assigned if buyer cancels the RFP.
General Information
- Beneficiary: Displays the beneficiary of the RFP.
- Customer: Must be selected by users with PR Manager or Vendor Manager permission.
- Organization Unit: Displays the unit associated with the RFP.
- Priority: Displays the RFP priority (Normal or High).
- Due Date: Sets the deadline for the RFP response.
- Request Valid Till: Controls the validity period for the RFP.
- Purpose: Displays the purpose or justification for the RFP.
Document Rows
The RFP includes two main tabs for managing items and supporting documents:
- The Requested Items: Displays the original items requested, imported from the initial RFP.
- The Attachments tab allows users and managers to upload relevant files to support the request.
Requested Items
- Description: Displays requested item.
- Quantity: Displays set number of each item.
- UoM: Set unit of measure.
- Expense Type: Displays selected expense type from available types in Expense Types.
- Remarks: Item-related notes or comments.
Attachments
- File Name: Name of the uploaded file.
- Comment: Additional notes or comments for the file.
