Add Company

To start working with an ERP system, you need to define the company and set up its structure — including organization units, users, and roles.

This setup ensures that every request, permission, and workflow is properly linked to the right part of your organization.

Step-by-step Setup Guide

Follow the steps below to configure users, roles, organization units, and the company itself.

Step 1: Create Users

Users represent employees in the ERP system. You must create users before assigning roles or permissions.

  1. Go to Identities → Users.
  2. Click New User button.
  3. In the General tab, enter user information:
    1. User name: martin
    2. Name: Martin
    3. Surname: Simon
    4. Contact email: martin.simon@mail.com
    5. Password: ********
  4. Click Save button.

Repeat the steps above to create two more users:

  1. User 2:
    • User name: emily
    • Name: Emily
    • Surname: Adams
    • Contact email: emily.adams@mail.com
    • Password: ********
  2. User 3:
    • User name: john
    • Name: John
    • Surname: Smith
    • Contact email: john.smith@mail.com
    • Password: ********

Step 2: Define Roles

Roles represent positions (e.g., CFO, Purchase Manager) and determine what actions users can perform in the system.

  1. Go to Administration → Identities → Roles.
  2. Click New Role button.
  3. In the New Role popup, enter role information:
    1. Role name: Employee
  4. Click Save button.

Repeat the steps above to create two more roles:

  1. Role 2: Project Manager
  2. Role 3: Financial Controller

Assign Permissions to the Role

  1. Click Actions → Manage Permissions next to the Employee role.
  2. In the Permission popup find the Purchase Order category.
  3. Сheck the permission Create Purchase Order.
  4. Click Save button.

Repeat the steps above to assign permissions for the other two roles:

  • Project Manager:
    • Items Create & Management
    • Vendor Purchase Manager
  • Financial Controller:
    • Purchase Order Management

Step 3: Create Organization Unit

Organization Units represent internal departments or teams in a company. The system uses a hierarchy where Main Units (companies) contain multiple Organization Units.

To create a company go to Administration → Identities → Organization Units.

  1. Click Add Company button.
  2. In the Create New Company popup, enter company information:
    1. Name: BuyCore Ltd.
    2. Currency: US Dollar
    3. Click Create button.

To add a department (unit) within the created BuyCore Ltd. company:

  1. Click on the created company.
  2. Click Add Unit button.
  3. In the popup, enter:
    1. Name: Financial Controller
  4. Click Create button.

Repeat the same steps to add one more unit:

  • Project Manager

To assign the user martin to the BuyCore Ltd.:

  1. Select the created company unit.
  2. In the unit details card, open the Members tab.
  3. Click Add Member button.
  4. In the popup, select user Martin Simon.
  5. Click Select button.

To assign the role Employee to the unit:

  1. Open the Roles tab inside the same card.
  2. Click Add Role button.
  3. In the popup, select role Employee.
  4. Click Select button.

Repeat the same process to assign:

  • User Emily Adams to Project Manager with role Project Manager
  • User John Smith to Financial Controller with role Financial Controller

Step 4: Add a Company

After users, roles, and organization units are in place, you can create the company.

  1. Go to EDI → Companies.
  2. Click Create button.
  3. In the Create New Company popup, enter:
    1. Name: BuyCore Ltd.
    2. Company ID: PF001
  4. Click Create button.
  5. After creation, the Organization Selection popup opens automatically.
  6. Select the previously created organization unit (Marketing Department) from the list.
  7. On the opened Create Company page, fill in the following fields:
    • Email: info@buycore.com
    • Active: Yes (select in a dropdown)
    • Contact Phone 1: +1 800 555 1000
    • Contact Phone 2: +1 800 555 2000
    • Currency: US Dollar
    • Public Vendor: Yes
    • Public Customer: No
    • Comments: Main procurement entity
  8. In the tabs below, you may optionally add:
    • Contact: Add key contact persons.
    • Billing Info: Enter billing details.
    • Address: Define the company’s physical location.
  9. Click Save button.

The company ProcureFlow Inc. is now created and active in the system.
